HEAD RECEPTIONIST

We require a current Head Receptionist who is customer-focused and adaptable to oversee the existing reception team and be responsible for the day to day running of the Reception desk as well as being an important point of contact for members and staff.
Applicants have strong leadership qualities. Experience of managing a team and using switchboards advantageous.

Job Purpose

• To liase and discuss with the senior management team, regarding staff and member issues.
• To oversee the reception team and ensure they adhere to all reception policies and procedures.
• To deal with all member and business enquiries in a polite and friendly manner and ensure they are actioned accordingly.
• To provide the first point of contact for members whether this be by telephone or in person as they enter the club.
• To ensure that only paid up members have use of Total Fitness facilities.


Person Specification

At Total Fitness the reception is often the focal point of the Club for members and prospects. A Head Receptionist must be friendly, outgoing, good natured and welcoming. They must display a helpful and professional attitude, ensuring they remain responsive to the needs of members at all times.

Ideally a Head Receptionist should have previous experience of working in a health club, on a reception or with the public, perhaps in the retail sector. They must instil confidence in reception staff and ensure that the team strives to provide an exceptional service on a day to day basis.

The ideal candidate must be able to communicate effectively at all levels. They must be able to lead by example in terms of their job performance and overall conduct, and aim to achieve optimum performance from their reception team.

They must be smartly presented, honest and have the ability to work under pressure. Cash handling and experience of using computers is also essential.


Duties and Responsibilities

• To ensure that all members and prospects are welcomed to the Club in a friendly and professional manner, using their name if it is known.


• To ensure the Microcache system is monitored regularly to make sure that people using the club, do so within the rights of their specific membership type and time.
• To be accountable for all cash handling, start of day and end of day procedures, reporting any mistakes or shortfalls immediately.
• To ensure that rotas are completed on a monthly basis, paying particular attention to the total number of department hours. Ensuring that these do not exceed those agreed by the Club Managers.
• To ensure the promotion and sale of all products and services on sale at Total Fitness and to assist members in purchasing what they require.
• To ensure that all stock checks and records are kept up to date and that any missing or faulty stock is reported immediately.
• To ensure all leaflets and information displayed on reception is neat and available for members and prospects.
• To use the tannoy to announce all classes 15, 10 and 5 minutes prior to the class, and when the class is about to start. The tannoy may also be used to page other staff and members according to the laid down procedures.
• To answer the telephone within five rings, in a friendly and professional manner, following the set procedure, and to direct the call as efficiently as possible to the correct extension. If the extension required is not available the correct message is to be taken and passed on at the earliest possible opportunity.
• To ensure that cleaning and maintenance tasks are completed as described by the cleaning and maintenance section of the SOP manual.
• To report any accidents or dangerous occurrences as soon as possible to the Club Managers/Duty Managers. Any threats to the health and safety of other staff and members should be reported immediately.
• To undertake any reasonable request as directed by the Club Managers/Duty Managers/group reception manager.
• To liase with the club/reception manager in conducting disciplinary interviews, when required.
